NON-EXEMPT ELIGIBLE JOB SUMMARY The Code Enforcement Clerk is a responsible position responsible for assisting the Code Enforcement Officers with clerical and administrative work.
Responsibilities also include the preparation of paperwork associated with administrative hearings and legal notices.
To include answering phones, receiving the public, providing customer assistance and data processing.
This position is also responsible for handling confidential and time sensitive material.
ESSENTIAL DUTIES - Perform administrative support functions applicable to the work to include maintaining accurate case files, receipts, processing mail, preparing correspondence, developing forms.
- Responsible for organizing office activities and performing clerical tasks inherent in the Code Enforcement Department - Act as a liaison between the Code Enforcement Officer and the general public, consultants, contractors, vendors, other government agencies and all Town Departments.
- Responsible for organizing office activities and performing clerical tasks inherent in the Code Enforcement Department including database management/data entry, file management alphabetically, numerically, or by other established classification correspondence, and customer service.
- Assists in answering phones and accepting Code Enforcement complaints; creating new case numbers and documenting each complaint with required information.
- Send notices to appear and prepare cases for presentation to the magistrate or code enforcement board, whichever is applicable.
- Coordinate and organize code enforcement cases, research property ownership, and prior violations.
Responsible for sending notices.
- Responsible for creation of monthly Special Magistrate Agenda from cases provided by the Code Enforcement Officer.
- Research code enforcement cases for accuracy; prepare draft recommendations for lien settlement; perform research on other aspects of cases as directed.
Create and manage tracking of code enforcement outstanding liens and lien settlements - Provides general information regarding code enforcement functions to the Code Enforcement Officer, coworkers, professionals, management, governing authorities, and members of the public within the scope of knowledge and authority.
- Receives, stamps, and accurately files incoming mail or provides to the Code Enforcement Officer for direction.
- Files records as directed.
- Prepare, update, and maintain departmental forms.
- Attendance of meetings and assisting with records and minutes necessary.
- Ability to work independently under limited supervision on moderately complex tasks.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS One year to two years of related experience and/or training.
Employee is expected to have acquired the necessary information and skills to perform the job reasonably well within six months of employment.
- High School Diplomas or GED.
- Florida Driver's License - Microsoft Office Skills - Typing Skills Considerable knowledge of related secretarial and office methods, practices, policies and procedures.
KNOWLEDGE, SKILLS & ABILITIES Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Reliance on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Low frequency of exposure to hazardous working conditions in dealing with members of the public.
While performing the duties of this job, employee will frequently be required to use hands and fingers dexterously to operate office equipment, will be required to communicate orally, regularly required to sit, stand, walk, occasionally required to stoop, kneel, or crouch and reach with hands and arms and lift up to 25 pounds.
Specific vision abilities required include close vision and ability to adjust focus.
